Position Title: Program Manager

Job Type: Full-time – Full Time Equivalency: 0.8–1.0 FTE; 32–40 hours/week

Compensation: $55,000–$65,000 annually (DOE)

Reports to: Co-Directors

Overview of the Hawaiʻi Institute of Pacific Agriculture:

HIP Agriculture is a 501(c)(3) nonprofit organization in North Kohala, Hawaiʻi. Our mission is to practice and teach regenerative agriculture through farm to school education, farmer training, and ecosystem restoration.  

Position Summary:

HIP Ag seeks a highly organized, motivated, and self-led Operations and Programs Manager to help steward and grow the organization over the coming years. This person will oversee nonprofit administration, organizational systems, compliance, communications, and donor engagement — while supporting the Executive Director and leadership team with scheduling, meetings, grant submissions, special events, and fundraising. The ideal candidate is proactive, detail-oriented, and tech-savvy, with strong communication skills and an eye for design. They are passionate about regenerative agriculture, community health, and local food systems — and aspire to grow into a senior leadership or executive role over time.

 

Key Responsibilities:

  • Administrative & Operational Management (40%)
    • Maintain HIP Ag’s administrative systems, records, and files (digital & physical). Manage organization-wide calendar, schedule meetings, and prepare agendas/minutes. Support compliance with IRS, State, and foundation requirements. Oversee contracts, registrations, insurance renewals, and reporting schedules. Support board and advisory meetings (minutes, scheduling, and document prep). Track staff performance benchmarks, assist in evaluations, and coordinate trainings. Maintain clean internal systems in Google Workspace, Asana, and QuickBooks. Provide general support for events, retreats, and public programs.
  • Program Support & Evaluation (25%)
    • Maintain program databases, surveys, and evaluation tools. Collect and synthesize data for grant reports and funder communications. Support coordination of workshops, youth programs, and community events. Assist with volunteer coordination and participant communications. Manage communication between program leads, partners, and funders. Track outcomes and assist with impact reporting for grants and donors.
  • Development & Fundraising Support (20%)
    • Assist Executive Director and Grants Manager in grant writing, submission, and reporting. Maintain donor CRM/database; track gifts, acknowledgements, and engagement metrics. Support donor cultivation — thank-you letters, impact updates, and produce boxes. Coordinate special events (e.g., Farm-to-Table dinners, donor mixers, fundraisers). Help design and implement annual fundraising campaigns and appeals. Prepare materials for board development and fundraising initiatives.
  • Communications & Design (15%)
    • Create flyers, newsletters, and outreach materials in Canva or Adobe Suite. Manage social media updates, website edits, and online calendars related to programs. Gather stories, photos, and impact data from programs for reports and marketing. Coordinate press releases, community announcements, and annual report design. Ensure consistent branding and messaging across all platforms.

Qualifications:

  • Minimum 3 years of nonprofit or mission-driven organizational experience.
  • Strong organizational, administrative, and communication skills.
  • Experience in fundraising, donor relations, or program coordination.
  • Excellent written and verbal communication; professional email etiquette.
  • Proficient with Google Suite, Canva, project management software (Asana, Trello), and CRM databases.
  • Ability to manage multiple priorities and meet deadlines.
  • Detail-oriented, self-motivated, and accountable.
  • Graphic design, communications, or marketing experience preferred.
  • Knowledge of sustainable agriculture, education, or Hawai‘i community development a plus.

Terms & Compensation:

  • Status: Full-Time (0.8–1.0 FTE; 32–40 hours/week)
  • Starting Salary: $55,000–$65,000 annually (DOE)
  • Benefits: Health insurance (HMSA), paid time off, produce share, flexible schedule
  • Location: Hybrid position based in North Kohala (some remote flexibility)
  • Schedule: Monday–Friday, occasional evenings/weekends for events
